At JJA Wright Care Consultancy Ltd, we are committed to delivering high-quality independent social work services with transparency and professionalism. This Referral Policy outlines our approach to receiving, processing, and managing referrals for our services from professionals, parents, carers, and other individuals or agencies. Our objective is to ensure that referrals are handled efficiently, respectfully, confidentially and in a way that prioritises the safety, wellbeing, and rights of children and families.

1. Who can make a referral?

Referrals can be made by:

  • Local Authorities and Children’s Services
  • Legal professionals (e.g., solicitors, court officers)
  • Health professionals (e.g., GPs, mental health teams)
  • Education professionals (e.g., teachers, SEN coordinators)
  • Youth offending teams
  • Parents, guardians, or carers
  • Family members
  • Other relevant professionals and agencies

We accept both professional and self-referrals through our designated referral forms available on our website.

2. How to make a referral

All referrals should be submitted via the appropriate referral form on our website:

  • Professional referral form: Designed for use by social workers, health professionals, legal representatives, and other agencies.
  • Self-referral form: Designed for parents, guardians, and families seeking support or assessments.

Each form includes sections for contact information, reason for referral, service requested, and relevant background details. To ensure timely processing, we encourage all referrers to provide accurate, complete, and relevant information.

3. Information required

To help us assess the referral efficiently, we typically require:

  • Full name and contact details of the referrer
  • Relationship to the child or family
  • Details of the child(ren) and family involved (if applicable)
  • Type of service required (e.g., parenting assessment, risk assessment)
  • Reason for referral and presenting concerns
  • Supporting documents (e.g., court directions, case summaries)

Incomplete forms may delay processing and we may request further information where necessary.

4. Referral review process

Upon receiving a referral:

  • Our team reviews the information submitted.
  • We assess suitability and alignment with the services we offer.
  • If needed, we may contact the referrer for clarification.
  • We aim to acknowledge receipt of the referral within 2 working days.
  • A decision will typically be made within 2 working days, depending on complexity.
  • For out-of-hours emergency referrals, the response and decision time will vary according to the nature of the service required.

Where we cannot accept a referral, we will communicate the reason clearly and, where appropriate, offer alternative suggestions or signposting.

5. Confidentiality and data protection

All referral information is treated with strict confidentiality and in line with our Privacy Policy and data protection obligations under the UK GDPR. Data is stored securely and accessed only by authorised personnel for the purpose of managing the referral and delivering the requested services.

We do not share referral details with any third party without explicit consent unless required by law or safeguarding protocols.

6. Consent and safeguarding

In self-referrals and where appropriate in professional referrals, we ask for informed consent from the person or family involved before proceeding with any service. However, if the referral involves immediate safeguarding concerns, we will act according to statutory safeguarding procedures regardless of consent.

Our safeguarding responsibilities take precedence and any disclosed risk to a child or vulnerable person will be addressed in accordance with relevant child protection laws and guidance.

7. Feedback and complaints

We value all feedback as part of our commitment to quality improvement. Referrers and service users are encouraged to share their experience or raise concerns using our Complaints Policy. All complaints will be handled fairly, promptly, and without prejudice.
